Vehicle Rental Terms & Conditions

|Proof of Address||Any utility bill/bank statement dated within the previous 2 months of the hire date from the drivers home address. Must be shown on collection of the vehicle.|
|License||Must have held a full license for at least 2 years. license must be clean or have no more than 6 points for minor offences (SP50, CU80 etc...). Major convictions (DR10, IN10 etc...) are a minimum of 5 years. In the case of hiring a Minibus, A Category D1 license is required for all drivers. license must be provided when collecting the vehicle, along with a valid DVLA passcode.|
General Terms and Conditions
A full and valid driving licence must have been held for a minimum of 24 months. Holders of the old style UK paper licence must also provide an additional form of photographic ID in the form of a Full Valid Passport, Armed Forces ID Card or a Police Warrant Card, no other form of identification will be accepted. All license holders must provide a valid DVLA passcode when collecting. Our insurance allows us to hire drivers with up to 6 points for minor offences (SP50, CU80 etc...). Major convictions (DR10, IN10 etc...) are a minimum of 5 years. If you are unsure please contact us before booking for clarification.
Non UK Driving Licence
A full and valid driving licence must have been held for a minimum of 24 months. Licences issued overseas must be clearly identifiable as a driving licence. A passport and ID showing home address must be produced. UK Nationals residing overseas are advised to use a driving licence of the country in which they reside or they will be subject to the above.
Due to insurance the minimum rental age is 25 and maximum age is 70, this applies on all our vehicles. Hirers of Minibuses over 9 seats must hold a category D1 licence.
Unfortunately, due to insurance requirements we are unable to hire to persons in any of the following professions; Professional Entertainers, Professional Sports Persons, Publicans, Night Club Owners, Owners of Gaming Establishments, Members of Foreign Military and Students.
With prior consent of MVH, the vehicle may be driven by other persons. All drivers must meet our standard qualification as set out in these Terms and Conditions. A charge for additional drivers during the rental period will be indicated during the booking process.
All rentals are subject to a standard £250 deposit at the time of rental in addition to the appropriate rental charge. If you are a first time customer and have a foreign address you will be required to pay a deposit of £1000 rather than £250. If you are a UK resident with a Non UK licence you will be required to pay a deposit of £500 for the first hire then £250 thereafter. All deposits must be on a credit card for Non UK residents and Credit or Debit card for UK residents, Cash is not accepted.
Credit and Debit Cards Accepted: Visa, Visa Debit, MasterCard and Maestro. We do not accept American Express, Diners Club and Electron. Pre-Paid cards are also not accepted. The person making the booking must be present at checkout of the vehicle as they will be the hirer on the Rental Agreement.
Excess and Waivers:
Waivers are not included in the rental rate but can be purchased at the time of booking or collection. Waivers cannot be added once the vehicle is out on hire.
All vehicles have an excess of £1000 plus deposit for off road charges should it need to be taken.
Vehicle waiver can be purchased at £15 per day to reduce the vehicle excess to £250 plus deposit for off road charges.
All damage above 5ft (1.52m) is NOT included in any excess or waiver purchased and is the sole responsibility of the hirer.
Glass and Tyre damage is NOT included in vehicle waivers purchased.
Glass and Tyre coverage can be taken at £3.80 per day to remove the liability of damage to glass and tyres.
Delivery and Collection:
Metro Vehicle Hire offers delivery and collection on all hires within the local area and is subject to an additional charge, this charge may vary depending on the duration of the hire and the distance of the delivery. Definition of 'The Local Area' is at our discretion. Should you wish to make use of our delivery/collection service then please make our staff aware when making your booking. Delivery will be made within a 1 hour time frame of the agreed time frame. The address must be the same as the registered payment card and driving licence. Delivery is only available Monday to Friday 9-5pm and Saturday 9-1pm. The vehicle will leave our office with a full tank of fuel. You are responsible for the fuel used for delivery. You are responsible for leaving the vehicle with a full tank of fuel on collection.
With our prior consent you may take the rental vehicle outside of the UK. All hire prices on our website are based on UK hire only. All hire prices on our website and social media pages are based on UK hire only. Most of our vehicles can be hired for use outside of the UK but do incur an extra charge due to the need for European Insurance Cover, European Breakdown Cover, etc. A minimum of 28 days notice must be given for Overseas Hire's. All prices include VAT unless otherwise stated.
All vehicles are supplied with a full tank of fuel at the start of the rental and should be returned the same. If the vehicle is not returned with a full tank of fuel, we will provide a re-fuelling service. Our standard re-fuelling is charged at a premium. Please refer to our staff at the time of collecting the vehicle.
Any property placed in the vehicle is at your own risk and we take no responsibility for it. You must check you have not left any personal property in the vehicle before you return it back to us. Any unclaimed property will be disposed of.
Fines & Charges:
You are liable for the payment of all charges, fees & costs arising from any congestion charge, bus lane penalties, speeding fines, road traffic offence or parking offence involving the vehicle, including costs from the vehicle being clamped, seized or towed away & any charge/costs (or failure to pay) of the appropriate organisation if & when they ask for these payments and our £35 administration fee.
Cancellation, Modification, Refund and No show fees:
Cancellations with over 14 days notice will be subject to a refund less administration charge of £35 or a full credit to be used within a 12 month period. Cancellations of 14 days or less will not be subject to any refund or credit. 28 days notice must be given for the cancellation of foreign hires already booked and European insurance is not refundable. Any deposits paid to hold vehicles are non refundable on cancellations. Modifications can be made with 48 hours notice subject to availability. Any no shows will forfeit any money paid if past the time of pickup. Deposits will be refunded depending on the condition of the vehicle when you return it to us. Refunds may take up to 10 working days to credit in to your bank account. We will make the refund to the card used for the deposit only.
Late Returns (without prior agreement):
Returns up to one hour late will normally be subject to a half a days hire charge. Returns over one hour late will be subject to a full days hire charge and possible deposit forfeit. A vehicle returning late; causing the loss of the next hire will be subject to a full charge of that lost hire.
All special offers are subject to availablity. Bookings made before an offer is placed on our website or social media will not be subject to any refund or rebate. Special offers will only be activated when specified on booking forms on-line or when requested during telephone bookings. All other bookings will be made using standard tarriffs.
All payments for our flexi-hire are based on 28 day hire durations only. Payment must be made as per agreed before taking a vehicle. Flexi-hire must be for a minimum of 28 days and every 28 days thereafter.
All card details are taken using a secure server.
The Hirer and Driver of a vehicle supplied by Metro Rental Ltd agree that all information submitted: true or false, may be shared with third parties in the event of MVH suffering unrecoverable loss or fraud.
Rental Agreement Terms and Conditions
By signing the rental agreement over the page or by taking a Vehicle from us you are entering into a legal contract with us on these terms and conditions (the rental agreement and these terms and conditions are collectively the “Agreement”).
“Accessories” The spare wheel, tools, satellite navigation, parcel shelves and locking wheel nuts and any other items with which the vehicle is supplied and any replacements thereof.
“Charge” and/or "Fee" means those set out in the Agreement or notified and agreed by you either before or after entering into this agreement;
“Current Tariff” means the Lessor’s tariff at the start of the hire.
“Driver” means the person/’s entitled to drive the vehicle approved by the lessor
“Excess Amount” means the sum specified overleaf, it does not cover loss of or damage to personal property.
“Excess Waiver Fee” A fee calculated in accordance with the lessor’s current tariff which limits the hirer’s liability.
“Hirer”, “you” or “your” means person, firm or organisation paying for the vehicle’s hire and named on the front page of this agreement.
“Lessor”, “us”, “we” or “our” means Metro Rental Ltd or Metro Vehicle Hire.
“Non Waivable Excess” The hirer’s liability will be limited to the amount of the non-waivable excess if the excess waiver is purchased in accordance with the lessor’s current tariff or is part of an inclusive tariff rate offered by the lessor.
“Rental Charge” means the amount set out on the first page of this agreement for the period shown.
“Rental Period” means the period shown on this agreement (which cannot exceed 84 days)
“The insurance Policy” The lessor’s policy of insurance on the vehicle, a copy of which is available at the rental location.
“Vehicle” means the vehicle described on the first page of this agreement or any replacement vehicle.
2 Rental Period
You will have use of the vehicle for the rental period (shown on the first page of this agreement). If you return the vehicle before the end of the rental period this agreement will end on the date of the vehicles return. If you decide to return the vehicle early you will not be entitled to the return of any unused prepaid rental charges. If you want to extend the rental period you must contact us as soon as possible before the end of the agreement on the first page of this agreement. The rental period maybe extended (subject to availability and agreement by us) but must not exceed the maximum rental period. You must not return the vehicle after the rental period without prior consent and payment made. If you do not return the vehicle to us when this agreement ends we are entitled to its immediate return and will take all lawful means to recover it. If we have to take such steps, you must pay all our reasonable costs (including any legal or professional costs).
You agree to be responsible for and will pay to us:
A deposit which will be refunded in full when you return the vehicle at the end of the rental period provided there are no additional charges that need to be paid for. Deposit monies may take up to 10 working days to be available in your account depending on your bank or card provider.
(a) Any charges or fees, including any administration fees if we have to pass your details to a third party
(b) Any charge for delivery and/or collection
(c) The cost to refuel the vehicle if not returned full (which are much higher than forecourt prices and include a refuelling charge)
(d) A charge for each mile (or part of mile) travelled in excess of any mileage cap or allowance shown on the agreement (250 miles per day or must not exceed 2500 in a 28 day period).
(e) A valeting charge (up to £85) if it is necessary to return the vehicle to the same condition it was in before the start of rental period (including for smoking in the vehicle)
(f) All costs arising from any congestion or parking charges (or failure to pay them) or a breach of any parking restriction or a road traffic offence or any other offence involving the vehicle including costs from the vehicle being clamped, sized or towed away and any charges/costs (or failure to pay them) of the relevant organisation (if and when they asks for these payments).
(g) The cost of repairing/replacing any damage caused to the vehicle or any accessories which have been lost, stolen or are uneconomical to repair(whether or not you are responsible for such loss).
(h) Damages for loss of use of the vehicle however caused and whether or not you are responsible for such loss unless
(i) A fee if the vehicles key is lost or damaged (whether or not you are at fault)
4 Your responsibilities
You must inspect the vehicle and accessories for any pre-existing damage before driving the vehicle. If there is any please inform us. You acknowledge that the vehicle is fit for purpose and undertake to return it and its accessories to the place and on the date due back specified on the first page of this rental agreement. You have received the vehicle free from apparent defects. You understand that the lessor has no liability in respect of any injury, loss or damage arising from the use of the vehicle, nor shall the lessor be liable for any indirect loss or damage, or in the case of consumers, damage which was not foreseeable by both parties. The lessor shall not be liable for damages arising from defects or mechanical failures which are not attributable to any breach of the manufactures warranty implied by law to take reasonable care or exercise reasonable skill. The deposit will be taken along with the excess in the event of any damage to either the vehicle or accessories during the rental period. You must look after the vehicle, keys and accessories against any loss and damage (however arising) throughout the rental period. If you do not do so, you will be responsible for all damage, loss and charge. You shall compensate us in full on demand for any loss we suffer as a result of any damage, fire or theft to or of the vehicle including loss of revenue to us for the period during which the vehicle shall remain unavailable for rental by reason of such matters and any claim made by any person in respect of the vehicle whilst it is in your custody.
You must ensure that only you or a named driver drives the vehicle. You agree to indemnify us for any charges arising in respect of any named driver on this agreement without prejudice to the agreed terms and conditions.
You or the named driver must:
(a) Not be under the influence of alcohol, hallucinatory drugs, narcotics, other illegal drugs or any other substance that may impair driving ability.
(b) If you are to exceed any mileage restriction, agree to pay the excess mileage charge as outlined on the first page of this agreement.
(c) You must not (nor allow anyone to) fit any roof or bike rack or any tow bar. You must not (nor allow anyone to) fit tyres or make any other modifications to the vehicle without our prior consent (must be like for like). You will be responsible (even if we give consent) for any damage caused by the fitting of tyres.
(d) You must not use nor allow the vehicle to be used for the carriage of passengers for hire and reward; or for racing, pace making, off-roading, reliability trials, speed testing, driving instruction, to propel or tow another vehicle or trailer or breach of any legislation, order or regulation affecting the use, loading or condition of the vehicle or for any illegal purpose at all and not use the vehicle in any manner which might render void the insurance policy, or other contract of insurance.
(e) Take the vehicle outside mainland UK without first obtaining our consent and payment made.
(f) You will not (nor allow anybody else to) smoke in the vehicle. If we reasonably think that smoking has happened in the vehicle, you must pay a valet charge.
(g) You will not sell, rent or dispose of the vehicle or any of its parts or accessories.
(h) Will not attempt to nor give anyone any legal rights over the vehicle.
(i) Not obtain the vehicle by giving a fictitious name or address
(j) Not have been convicted of a motoring offence, the details of which have not been disclosed in writing to the lessor at the commencement of this hire, or have any pending.
(k) Not exceed any maximum payload or individual axle plated weight.
(l) Be responsible for the loading and unloading of the vehicle, If you do not comply with any of the material conditions of this agreement you shall return the vehicle to us immediately and pay us on demand such loss as is recoverable at law where that loss is caused by your non-compliance. In the event of an unauthorised person having been found to be driving the vehicle, the deposit card holder agrees to forfeit the full deposit as signed on the first page of this agreement. You agree that all insurance cover is void in the event of payment or payments being outstanding or in arrears at the time of any accident/incident or claim or any unauthorised person driving or having custody of the vehicle. The driver and hirer agree that all information submitted, true or false, maybe shared with third parties in the event of us suffering unrecoverable loss or fraud. We accept no liability for any property placed in the vehicle which is there at your own risk. You must not leave any property in the vehicle when returning it to us.
Neither our cover nor any excess waiver products protect you for loss or damage to the vehicle and/or accessories caused by driver abuse, negligence or breach of this agreement. In these circumstances you must pay all of our losses and damages and you agree to pay all relevant charges. If you have purchased your own insurance then you are responsible for the cost of such insurance and for any excess that may apply to it. The insurance cover you provide must be fully comprehensive insurance without restriction or excess and must be effective from the start of your rental period (when risk of the vehicle is transferred to you) until the end of the rental period or the inspection and permanent return of the vehicle and keys to us. You must upon our request supply satisfactory proof of your insurance before we give a vehicle to you. If you become aware of any changes in your insurance cover during the rental period you must inform us immediately. It is your responsibility to ensure that your insurance complies with the requirement of this agreement. You are responsible for all of the losses and damage we incur or suffer in the event that any insurance provided by you fails to be effective or satisfactory. You will use your endeavours to supply us and any other relevant bodies with full details of any third party(ies) and third party vehicle(s) involved in any accident/incident with the vehicle. Failure to do so may invalidate all coverage with the vehicle. Nothing in these terms and conditions shall be deemed to exclude or restrict our liability for death or personal injury resulting from negligence or any other liability of the lessor which cannot be excluded as a matter of law.
6 Breakdown, Accident & Repair
If a warning light appears or the vehicle develops any fault during the rental period you or any named driver must call our office on (0191) 488 87 00. If there is an accident/incident you or any named driver must inform our insurance company immediately on 0843 221 8487.
If you or any named driver has an accident/incident you or any named driver must:
(a) Not admit or accept responsibility;
(b) Obtain and notify us and our insurance company of the names and addresses of all involved, including witnesses;
(c) Make the vehicle secure and tell the police immediately if anyone is injured, the road is blocked or if any property has been damaged
(d) Tell us of the accident or incident immediately on 0843 221 8487 (30 maximum minutes).
(e) Complete and return the accident report form provided with the vehicle.
7 End of Rental Agreement
We may immediately end the agreement if we become aware or suspect that you or any named driver has breached these terms and conditions.
Consumer – we will end the agreement immediately if we discover that any of your belongings have been taken away from you to pay off your debts, or a receiving order has been made against you or steps have been taken to make you bankrupt or for you to enter into an individual voluntary agreement. Company- we may end the agreement immediately if you go into any form of insolvency or you call a meeting of creditors or we discover that any of your goods have been taken away from you to pay off your debts or receive adverse information or fraudulent financial information.
At the end of the rental period (including if it is ended early) you must return the vehicle and keys to the location shown on the first page of this agreement. If the vehicle is to be collected by us from you it must be parked in a suitable place to allow collection at anytime without the imposition of any fine or charges. If this agreement ends we will still have all of our rights under these terms and conditions including the right to claim any amounts which you owe to us.
8 Your information
We may use any information you have given us, including the details of any named driver, for the purpose of your rental to verify identity, collect payment, monitor fraud and deal with any issues before, during and after the rental period. We will obtain information from third parties concerning you and/or any named driver to decide whether to rent a vehicle to you. To maintain and protect the vehicle and to prevent and detect crime we may use electronic devices to monitor the condition, performance and operation of the vehicle and/or to track the vehicles movements. This information may be used both during and post rental period. We will keep a record of any breach of this agreement, suspected fraud or accident history to help us with future decisions about you and/or any named driver. We may give the personal details on the agreement and details of your performance of obligations under this agreement to credit reference agencies, DVLA, HM Revenue & Customs, the police, debt collectors (including solicitors) and any other relevant organisations. We will also pass on your details to HireGuard who will pass the details on to its other members to help such members decide whether they will accept you or any named driver as a customer.
If you are a company or other organisation for which a credit account has been opened, the agreement must be read.
